Obligations
There
are five forms that you need to complete and return to the Reading International
Office. by the date requested:
- Student Grant Contract (including
learning agreement)
- Certificate of Arrival / Departure
- Receipt of Grant Forms
- Student Report Form
- Copy of Final Transcript
Student Grant Contract
The Student Grant Contract asks for you permanent
home address. This is where the Receipt of Grant form and correspondence
will be sent. Please ensure that there will be someone at the address who will be able
to to either forward correspondence on to you, or verify receipt of money and
return the form to the Reading International Office on your behalf.
Your Student Grant Contract must be submitted
with printed details of the bank account that the money will be paid into. This
should either be:
- printed bank paying-in slips (found at the back of your cheque
book), or
- a photocopy of the top of your bank statement (we do not need to know
your account transactions).
We do not accept hand written bank account details.
Requests for payment by cheque must be accompanied with an explanatory letter.
No money will be allocated unless a Student Grant
Contract has been completed and signed. Please be as accurate as possible with
dates. If you plan to study in two countries, you must complete separate
contracts for each institution that you will study at.
Learning Agreement
The Learning Agreement is the basis of your
study period at your host institution. Your programme of study should be noted
on your Learning Agreement and must be agreed by the host institution, the home
institution and the student.
A Learning Agreement should be completed
prior to your departure, with approval from your academic department given for
your module choices. Any subsequent changes to the Learning Agreement which
become necessary upon arrival at your host institution must be formally agreed
by all parties.
Certificate of
Arrival / Departure
You will need to return to the Reading
International Office a Certificate of Arrival / Departure,
indicating the dates of your arrival and departure from your host institution.
It needs to be signed and stamped by the host institution on both occasions.
The first section must be
returned by Fax within 10
days of your arrival at your host
institution. The second section must be completed immediately prior to
your departure.
It is vital that you have your study period verified by the Host
Institution, therefore please ensure that the dates on the certificate are for
the same period as on your contract. If they differ, you will be required to
refund part of your grant.
Receipt of Grant Form
As soon as payment has been made into your bank
account we will notify you by email to your University of Reading email account (details of how to access this can
be accessed from the ITS service site),
attaching a Receipt of Grant Form and informing you of the amount and date payment
was made. You must acknowledge receipt of the grant by either:
- sending the Receipt of Grant Form to the
Reading International Office as soon as you have verified receipt of
money, or alternatively
- sending an email to
studyabroad@rdg.ac.uk confirming
your name and the amount received.
Failure to notify the Reading International
Office will jeopardise your second
payment and could result in your grant having to be repaid in full. You will
also need to confirm receipt of your second payment, if and when payment is
made.
Student Report Form
The Student Report Form needs to be completed at the
end of study abroad period and returned to the International and Study Abroad
Office no later than 30 days after the end of your study period.
Final Transcript
The final transcript stating the modules that you have
studied and the grades that you have achieved whilst at your host institution
must be returned to the Reading International Office when your study period has been
completed. The Transcript must be on headed official headed paper, signed by the
host institution's representative and include the official University stamp.
